Physical Security :
Physical security covers the entire safety standards of the factory premises and encompasses the following areas:
-Building Security
-Lock and Key System
-Vehicle Parking
-Communication System
-Security Personnel
Building Security:
The building is constructed of materials, which resist unlawful entry and protect against outside intrusion.
> The security personnel are kept at each entrance of the buildings round the clock.
> All the windows and door locks are properly maintained the checked on regular basis.
> In addition to that, adequate locking devices for external and internal doors, windows and gates are installed to ensure personnel, materials and workplace safety.
Lock and Key System:
The factory needs to be protected from intrusion and this proper locking system must be ensured to prohibit unauthorized movement to and from the factory premises. The security system inside the factory is maintained as follows:
> All the locks of the factory premises are opened & locked in front of the concerned area In-charge, Security Personnel
> Two sets of keys of each lock are maintained in the factory premises one is kept with security personnel and the other set remain with the custody of factory In-charge.
> All keys of different sections/floors/stores/office are kept in a keyboard at front desk and security personnel always remain there who is responsible for overall handle and maintenance of the keyboard.
> The keyboard is always kept locked and the key of the keyboard is kept to the security personnel on duty.
> “Key Board Register” is maintained for tracking of the personnel receiving and submitting the keys for security purpose.
> The security personnel take the signature of the person(s) in the register detailing the reason to enter unto any restricted area as well as the time of in and out.
> The keys are not provided to any unauthorized personnel other than the permission of concerned authority.
> The security personnel signs in the register at the time of his departure from the factory and before that he hands over the keys of the keyboard to the other security assigned for next shift.
> The security personnel checks and verify all the keys and locks from previous shift security personnel.
> If for any reason the keyboard is found broken, the security personnel will directly inform all the entrance/exit security personnel to close all the factory entrance/exit so that n one moves in or go out of the building. The security personnel also inform about this matter to the head the Administration. Head of the Administration will investigate about the matter and until all the entrance of the factory will remain closed and found safe properly all the entrance of the factory will remain closed and no employee will be allowed to move in or out of the factory premises.
> If any key is found missing from the key board, the security personnel informs the factory In-Charge and Admin department both verbal and in writing the existing lock is disposed off and another lock is arranged immediately.
Lighting:
> In addition to the adequate lighting facility in the production area proper lighting facility should be ensured in the following areas also:
- All security points.
- Cargo loading/unloading area.
- Around the factory premises.
- All security lights are kept on while the factory is closed.
- In case of any lights is found worn out, the security personnel bring it to the notice of the P&A department and change it within the soonest possible time.
Vehicle Parking:
> There are designated parking areas for employees and visitors cars at the front side of the entrance, which is absolutely separated from cargo van parking area located at back entrance of the factory.
> Special security is maintained in the cargo van parking area during loading/unloading cargo. This area is totally restricted during loading/unloading except those who are engaged in handling cargo.
> The security guard petrol’s the cargo van parking area every hour and one security guard constantly guard the place when cargo van is kept in the parking area.
Communication System:
> The factory has internal/external communication systems like telephone, intercom, fax etc. in place to contact internally and externally to police stations, ambulance, fire brigade, nearest hospitals and clinics, key factory personnel etc. in case of emergency.
> The security personnel have 24 hours access to the telephone so that they can communicate externally in case of emergency.
>The security personnel have been provided with whistle to that they can communicates among themselves in case of emergency.
Security Personnel
> Security personnel assigned for duty at the factory premises functionally reports to the Head of the Administration department of the concerned factory.
> Factory Management provides intercom facility to all the security point.
> Emergency telephone numbers are maintained by the Security personnel. These number include:
-Nearest Police Station
-Nearest Fire Brigade
- Ambulance
- Nearest Clinics & Hospitals
- Key Factory Personnel (e.g. Factory Manager, Personnel Manager, Production Manager, etc.)
> Security Personnel are provided with complete uniform, torchlight and whistle.
> Security Department must provides the details (Name, Contact & permanent Address, photograph etc.) of Security personnel assigned for the duty to the Admin department of the concerned factory.
>
The Chief Security Officers verifies the previous records of the security personnel before recruiting and provide a character certificate for each security personnel assigned for duty in different units, which are maintained in their respective personnel files.
> The Chief Security Officer of the factory management well in advance about the duty roaster of security personnel.
> The factory Admin department circulates it to all security in charge of every shifts.
> While changing shift, each Security Personnel signs in the register mentioning “Duty Hand Over” time and significant incident (if any) during his stay on duty.
> The security personnel while taking over the duty also sign in the register acknowledge the satisfactory condition of his working area and time of his arrival.
> During office hour, in case any unwanted incident occurs, the security personnel immediately inform the Admin department head.
> In case of any mishap during off hours, depending on the situation the security personnel contact with the Admin department / Head of factory and / or the concerned authority for necessary emergency support.
